Who we are and what this covers

Labs Kai LLC (“Labs Kai”, “we”, “us”) is a Florida company that builds websites, lead capture, automations and AI agents for small businesses, and runs its own products, AIFormFlow and ShopMade.

This policy covers information we collect through:

• labskai.com, including the contact form on it;
• AIFormFlow: aiformflow.com, the forms we host for our customers (for example on addresses ending in aiff.dev), the form embedded on our customers’ websites, and the AIFormFlow admin;
• ShopMade: shopmade.pro and the ShopMade app;
• our emails, calls and text messages, and the services we provide to clients.

Information we collect

What you give us

• Contact details, such as your name, email address, phone number and business name, when you fill in a form, book a call, email us or sign up.
• What you tell us in a form, a message, a chat or a call, including anything you type or say to an AI form or voice agent.
• Your SMS consent choice: whether you checked the box to receive text messages, and when.
• Account and billing details for AIFormFlow or ShopMade. Card payments are handled by our payment processor; we do not store full card numbers.

Collected automatically

• Device and usage data, such as IP address, browser type, pages viewed and the time of a visit, which our servers log to keep the sites running and secure.
• Spam and abuse signals on AIFormFlow forms, such as how long a form took to fill in, typing timing, duplicate submissions and an automated spam check. We use these only to keep junk and fraud out of our customers’ inboxes.
• Cookies and similar technologies that our sites need to work, such as keeping you signed in, and to understand which pages are used.

Information our customers collect with AIFormFlow and ShopMade

When you fill in a form that a business runs on AIFormFlow, or that business keeps your details in ShopMade, we process your information on that business’s behalf so it can answer you. That business decides how it uses your information, and its own privacy policy applies. If you want to see, change or delete what a business holds about you, contact the business first. We will help them answer you.

How we use information

• To answer your request, book and hold calls, and send the confirmations, reminders and follow-ups you asked for.
• To provide, maintain and improve our services, AIFormFlow and ShopMade, including delivering leads to the business you contacted.
• To understand what you type or say in an AI form or voice agent, so it can fill in your answers and ask only what is missing.
• To filter spam, prevent fraud and keep our systems secure.
• To bill customers and keep business records.
• To meet legal obligations and enforce our terms.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Text messages (SMS)

Who gets texts from Labs Kai LLC. We text people who request a call, demo or quote through our forms and check the SMS consent box, and AIFormFlow customers who turn on text alerts.

How you sign up. On our forms, check the box that says you agree to receive text messages from Labs Kai LLC. The box is never checked for you, and you can send the form without checking it. AIFormFlow customers turn on text alerts for their own phone number in their account. Consent is not a condition of purchase.

What we send. Messages about your request, including appointment confirmations, reminders and follow-ups. For AIFormFlow customers with text alerts on, alerts about new leads and their account.

Frequency and cost. Message frequency varies. Message and data rates may apply.

Opting out and help. Reply STOP to any message to opt out, or HELP for help. You can also email [email protected] or call (239) 666-6659. After you reply STOP, we send one message confirming you are unsubscribed and no more texts unless you sign up again.

AI processing

AIFormFlow forms, voice agents and chat tools send what you type or say to AI service providers so it can be understood and answered. These providers process it to provide the service to us. Please do not enter sensitive information, such as health details or payment card numbers, into a form or a chat unless the form asks for it.

Who we share information with

• The business you contacted, when you fill in a form or message a business that runs on AIFormFlow or ShopMade.
• Service providers who help us run our business, such as hosting, email, text messaging, AI processing, voice, calendar, payment and analytics providers. They may use the information only to provide their service to us.
• Legal and safety: when the law requires it, or to protect the rights, safety and property of our customers, the public or Labs Kai.
• Business transfers: if Labs Kai is involved in a merger, sale or similar transaction, information may transfer to the new owner under this policy.

The SMS limits in Text messages apply in every case above.

How long we keep it

We keep information for as long as we need it for the purposes in this policy: while you are talking with us, while you are a customer, and afterwards as long as needed for records, legal obligations and resolving disputes. Leads collected for an AIFormFlow customer are kept while that customer’s account is active, or until the customer deletes them. We record SMS consent and opt-outs for as long as we need proof of them.

Your choices and rights

• Texts: reply STOP to any message.
• Email: use the unsubscribe link in any marketing email, or write to us.
• Access, correction and deletion: email [email protected] to ask for a copy of what we hold about you, to correct it, or to delete it. We may need to confirm who you are first, and we may keep what the law requires us to keep.
• Cookies: you can block or delete cookies in your browser settings. Some parts of our sites may not work without them.

Depending on where you live, you may have more rights under your state’s law. We will honor them as the law requires.

Security

We use reasonable technical and organizational safeguards, including encrypted connections (HTTPS) on our sites and access limits on our systems. No system is perfectly secure, so we cannot promise absolute security.

Children

Our services are for businesses and adults. We do not knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

We may update this policy. We will change the “Last updated” date at the top, and if a change is significant we will tell customers by email or in the product before it takes effect.
